About Xpnsr Expense Management
Xpnsr Expense is a real-time corporate card expense management platform that connects directly to Visa and Mastercard processing rails via the Astrada API. Unlike traditional expense management tools that rely on next-day bank feeds or manual receipt uploads, Xpnsr captures every transaction the moment it happens — sub-second card charges, refunds, virtual card issuances, and budget threshold alerts are all streamed to the dashboard in real time. The platform supports unlimited virtual and physical corporate cards with configurable spending limits per card, per merchant category, or per time period. Cards can be issued instantly from the dashboard or via the API, with support for single-use virtual cards for one-time purchases, merchant-locked cards for recurring subscriptions, and budget-capped cards for department-level spending. Each transaction is automatically categorised using machine learning models trained on millions of merchant transactions, with support for custom category rules and manual overrides. The reconciliation engine matches transactions to QuickBooks and Xero entries in real time, reducing month-end close from days to minutes. Flagged transactions are detected automatically based on configurable rules — unusual merchant categories, amounts exceeding thresholds, duplicate charges, transactions from unexpected geographic locations, or velocity anomalies. Flagged items can be reviewed, approved, or disputed directly from the dashboard. The budget tracking module allows you to set monthly spending caps per department, cost centre, or project, with real-time progress indicators and automated alerts when budgets approach their limits. Multi-currency support includes USD, EUR, GBP, CAD, AUD, and JPY, with automatic conversion to your base currency using real-time exchange rates from the Astrada API. The export function generates CSV files with all transaction fields including merchant name, category, amount, currency, cardholder, date, and reconciliation status. API latency monitoring tracks the performance of the Astrada API integration with p50 targets under 50ms and p99 targets under 200ms. Webhook delivery monitoring tracks the success rate of outbound webhooks to accounting integrations with automatic retry for failed deliveries. The integrations panel shows the live status of all connected services including QuickBooks, Xero, Stripe, and banking partners. For teams, role-based access control supports viewer, editor, and admin permissions with the ability to restrict access to specific cards, budgets, or departments. Audit logs capture all user actions including card issuance, spending limit changes, transaction approvals, and export downloads. Logs are retained for 90 days and are accessible from the security dashboard. The Expense platform is SOC 2 Type II compliant and all data is encrypted at rest using AES-256 and in transit using TLS 1.3. For enterprise customers, we support custom approval workflows, multi-level spending hierarchies, and integration with procurement systems via the REST API. The API supports rate limiting of 1000 requests per minute per account with pagination, filtering, and sorting for all endpoints. Webhook events include transaction.created, transaction.flagged, transaction.reconciled, card.created, card.suspended, budget.threshold_reached, and integration.connection_status_changed. Each webhook payload includes the event type, timestamp, and relevant resource data signed with HMAC-SHA256. For accounting teams, the reconciliation dashboard shows which transactions have been matched to QuickBooks or Xero entries, with a clear indicator of unmatched items that need attention. The reconciliation engine supports auto-matching by amount, merchant name, and date, with configurable tolerance levels for amount discrepancies. Unmatched transactions can be manually assigned to the appropriate accounting entry or exported for manual processing. The Expense platform also supports receipt capture via email forwarding, mobile upload, and API integration with receipt scanning services. Receipts are automatically matched to transactions using OCR and machine learning, with confidence scores displayed for each match. For compliance, the platform supports configurable expense policies with automatic enforcement at the point of transaction. Policies can be set by card, by department, by merchant category, by amount threshold, or by geographic region. Policy violations trigger real-time alerts and can require manager approval before the transaction is processed.
